What is a Weekly Time Card Calculator?

A weekly time card calculator is a digital timesheet tool that sums daily hours worked across a 7-day week, separates regular hours from overtime hours (based on the FLSA 40-hour threshold), and estimates your gross pay when you enter your hourly rate. It replaces paper time cards and manual timesheet spreadsheets — eliminating the arithmetic errors that frequently appear in payroll submissions.

This calculator is designed for hourly employees, freelancers tracking billable hours, and HR and payroll teams who need to verify weekly timesheet totals before payroll is processed. You can enter hours in decimal format (e.g., 7.5 for 7 hours 30 min) for any day of the week, including partial days and rest days.

Why Should You Use the Weekly Time Card Calculator?

  • Eliminate timesheet arithmetic errors: Manually adding up daily hours across 7 days — especially when some days have partial hours — is surprisingly error-prone. This calculator removes that risk entirely.
  • Instantly identify overtime: See immediately whether your week crossed the 40-hour threshold and exactly how many overtime hours you've accumulated — before you submit the timesheet.
  • Estimate your gross pay: Enter your hourly rate to see an estimated gross pay figure based on your regular hours and overtime hours for the week, with the 1.5× multiplier applied automatically.
  • Payroll verification: HR and payroll teams can use this to quickly verify a submitted timesheet total against employee-reported hours before releasing payroll — a fast sanity check before processing.
  • Freelancer billing support: Freelancers tracking billable hours can use this to sum hours per week and calculate the week's invoice amount, with an instant download to a timestamped CSV.
  • CSV export: Download the completed timesheet as a CSV file — importable into accounting software, project management tools, or sent directly to a client or employer.

How to Use the Weekly Time Card Calculator

  1. Select your currency — formats the gross pay estimate.
  2. Enter your Hourly Rate (optional) — if entered, the calculator will estimate your gross pay including overtime at 1.5×. Leave blank to just sum hours.
  3. Enter hours for each day (Monday through Sunday) — enter in decimal format: e.g., 8 for 8 hours, 7.5 for 7 hours 30 minutes, 0 for a rest day.
  4. Click Calculate Timesheet to see your total weekly hours, regular hours (up to 40), overtime hours (above 40), and estimated gross pay.
  5. Click Download Timesheet to export a CSV version of the week, or Print to produce a physical record.

How Weekly Time Cards and Overtime are Calculated

Total Weekly Hours = Sum of hours entered for Monday through Sunday
Regular Hours = Min(Total Weekly Hours, 40)
Overtime Hours = Max(0, Total Weekly Hours − 40)
Regular Pay = Regular Hours × Hourly Rate
Overtime Pay = Overtime Hours × Hourly Rate × 1.5
Estimated Gross Pay = Regular Pay + Overtime Pay

Worked Example

Hours: Mon 8, Tue 8, Wed 8, Thu 8, Fri 8, Sat 5, Sun 0. Hourly rate: $18/hr.

  • Total Hours = 8+8+8+8+8+5 = 45 hours
  • Regular Hours = 40 | Overtime Hours = 5 hours
  • Regular Pay = 40 × $18 = $720
  • Overtime Pay = 5 × $18 × 1.5 = $135
  • Estimated Gross Pay = $720 + $135 = $855

Pros and Cons of Digital Time Card Tracking

✅ Advantages⚠️ Limitations
Eliminates manual addition errors in weekly timesheet totals — the most common source of payroll discrepanciesBased on weekly overtime threshold (FLSA US standard); does not apply daily OT rules (California-style regulations)
Instant overtime detection — employees know before submitting whether they have crossed the 40-hour thresholdUses a fixed 1.5× overtime multiplier — does not support double-time or other premium rate structures
CSV export enables direct import into payroll systems, invoicing software, or project tracking toolsTracks one week at a time only — for multi-week or monthly summaries, a dedicated timesheet tool is needed
Free and browser-based — no registration, no app installation, accessible from any deviceDoes not validate against scheduled shifts or approved hours — it is a calculation tool, not an attendance management system

Timesheet and Time Tracking Best Practices

Use Decimal Hours, Not HH:MM

Entering 7.5 instead of 7:30 avoids the most common timesheet input error. Decimal format also makes arithmetic consistent — especially when hours include 15-minute increments (0.25 hr each).

Log Daily, Not Weekly

Completing your timesheet daily (rather than filling in the whole week on Friday) produces significantly more accurate records. Memory of exact hours fades quickly over a 5-day period.

Watch for Overtime Creep

Five days of 8 hours is exactly 40 hours — any Saturday or evening hours push you into overtime territory. If you are an employer, monitor weekly totals mid-week to avoid unexpected overtime costs.

Save Your CSV

Download and archive your weekly CSV exports as a record of hours worked. These become valuable evidence in any timesheet dispute, and are useful for tax purposes if you are a self-employed contractor.

FLSA Record-Keeping

US employers must keep records of hours worked by non-exempt employees for at least 2 years (FLSA Section 11). A downloadable weekly time card is a lightweight but compliant starting point for small businesses.

Scaling Up?

If you manage multiple employees, manual time cards become unmanageable quickly. An HRMS with built-in timesheet approval workflows, shift scheduling, and automatic payroll integration eliminates the entire manual process.

Frequently Asked Questions

Decimal hours convert minutes into a fraction of an hour (Minutes ÷ 60). For example, 30 minutes = 0.5 hours. 15 minutes = 0.25 hours. 45 minutes = 0.75 hours. 8 hours and 15 minutes is entered as 8.25.

You should only enter net working hours per day. If you were at work for 9 hours but took a 1-hour unpaid lunch break, enter 8 hours.

This calculator uses the standard weekly overtime rule: any total hours over 40 in a week are calculated as overtime at 1.5x the hourly rate. It does not calculate daily overtime rules (like California's 8-hour daily limit).
